WhatsApp appointment booking: how it works, what it needs, and how to set it up

A WhatsApp booking bot lets a customer pick a service, see the slots that are actually free, and confirm, all inside the chat they already have open. The business gets the booking on a calendar, a reminder goes out before the time, and nobody has to answer "are you free at 5?" by hand.

What it does
Shows live availability, takes the booking in a WhatsApp Flow, confirms, reminds, and syncs to Google Calendar or Zoom
Who it suits
Clinics, dental practices, salons, physiotherapy, tuition and coaching, repair services, consultants
Setup
Same day on your own WhatsApp Business number
Trial
14 days free, no credit card
Languages
Tamil, English and more; the bot replies in the language the customer writes in
Platform
Official WhatsApp Business API, Meta Business Partner

What a booking on WhatsApp looks like to the customer

The customer messages your number, or taps a link or an ad. The bot asks what they need, shows the services you offer, and opens a short form inside WhatsApp (a WhatsApp Flow) with a date picker and the open slots for that day. They choose, confirm, and get a message with the time, the address and a cancel option.

Nothing is typed twice. The name and number come from the chat. If the customer already has a booking, the bot can show it instead of making a second one.

What it needs from the business

  • Services: a name, a duration and, if you want, a price per service. A dental check-up is 20 minutes; a root canal is 60.
  • Availability: a weekly routine (Mon–Sat 10–1 and 4–8, for example) or fixed dates, with buffers between bookings, how many people one slot can hold, and how far ahead someone may book.
  • Locations: one or several branches, each with its own hours.
  • A WhatsApp Business number on the official API. Your existing number can be moved; the chats on the phone app do not carry over.

In Playbot these live under Appointments. The availability engine does the arithmetic: it will not offer a slot that overlaps another booking, a buffer, or a closed hour.

Reminders are where the money is

Most practices lose more to no-shows than to empty slots. A reminder the evening before, and one an hour or two before, is the single change that moves that number. Playbot sends them as WhatsApp template messages, so they arrive even if the customer has not written to you for days, and the customer can reply to cancel or reschedule in the same thread.

Reminders can be one-off (this appointment) or recurring (a dental recall every six months, a fee due on the first). See WhatsApp reminders.

Calendar, payments and the rest of the office

  • Google Calendar and Zoom: every confirmed booking is created on the calendar you already use; online consultations get a Zoom link in the confirmation.
  • Advance payment: a Collect Payment step can take a token amount through Razorpay or UPI before the slot is held. See WhatsApp payments.
  • Team inbox: when the bot cannot answer, the chat lands with a person, with the booking visible beside it. See Team inbox.
  • Google Sheets and webhooks: bookings can be written to a sheet or pushed to your own software.

Setting it up, step by step

  1. Create a Playbot account and connect your WhatsApp Business number (new or existing). Meta verification of the business takes from a few hours to a few days.
  2. Add your services with durations, then your weekly availability, buffers and locations.
  3. Pick the booking flow template, set the language, and put the bot live on the number.
  4. Turn on the reminder schedule (we suggest 18 hours and 2 hours before).
  5. Connect Google Calendar if staff live in it. Add a Collect Payment step if you take a token amount.
  6. Share the wa.me link on your Google Business Profile, Instagram bio and signboard. Run a click-to-WhatsApp ad if you want new customers rather than just existing ones.

What it costs

Two costs: the Playbot plan, and Meta's per-message charge for template messages such as reminders (a few paise to a rupee or so each, depending on category; replies inside a 24-hour service window are free). Plans are on the pricing page; the trial is 14 days and needs no card.

Limits worth knowing

  • The customer must message you first, tap an ad, or have opted in; you cannot cold-message a list of numbers for bookings.
  • Template messages (reminders) need Meta approval, which usually takes minutes but can take a day.
  • One number, one WhatsApp Business account. Several branches can share a number with separate availability, or run their own numbers in one inbox.

Questions we get asked

Can customers book without downloading anything?

Yes. The whole booking happens inside WhatsApp. There is no app, no login and no web form.

Does it work in Tamil?

Yes. The flow and the confirmation can be written in Tamil, and the AI agent replies in whatever language the customer writes in.

Can I keep my existing WhatsApp number?

Yes, if it is not currently registered on the WhatsApp Business API with another provider. Chat history from the phone app does not migrate.

What happens if two people pick the same slot?

The availability engine checks capacity at the moment of confirmation. The second person is shown the next free slot.

Can a receptionist still book by hand?

Yes. Manual bookings go into the same calendar and get the same reminders.

How soon can I be live?

The same day if your number is ready and your business is already verified with Meta. Verification of a new business is the only step that can take days.
